Administrative Intern for Programs Volunteers

Hours 10-20 weeks, 12-15 hours per week

Objective


Assist Team Leader for Volunteers for Programs and Early Childhood with administrative tasks. The completion of these tasks will increase the efficiency of processes and procedures and ensure that volunteers receive the personalized attention that will help them advance successfully through COSI’s career ladder.




Education and Experience


a. Communication, English, Human Resources, or technology background preferred.
b. Must have strong written and verbal communication skills.
c. Must be proficient in Microsoft Word and Excel.
d. Must have reliable transportation and be available 10-15 hours a week. Flexible scheduling available.




Essential Job Functions


Take responsibility for tracking Programs volunteers’ process through the Career Ladder. Create and maintain documents relating to Career Ladder management as well as the scheduling of ongoing and temporary Programs volunteers. Take responsibility for the White STAR process for volunteers in Programs and Early Childhood. Identify volunteers needing to take the test, assess needs, and assist with studying as necessary. Communicate with Team Leader for Volunteers to schedule and proctor the quiz. Award White STARs as needed, notifying the Team Leader for Volunteers and recording the recognition. Maintain an up-to-date record of hours served by volunteers.


OTHER DUTIES AND RESPONSIBILITIES:
Under the supervision of the Team Leader for Volunteers of Programs and Early Childhood, the Administrative Intern’s duties may include:
a. Develop a working knowledge of Volunteer Works.
b. Maintain an up-to-date schedule of Little Kidspace and Programs volunteers.
c. Maintain an up-to-date record of hours earned by Little Kidspace and Programs volunteers by completing weekly hour audits.
d. Regularly check the Programs Career Ladder binder and update Green STAR check-lists as necessary.
e. Contact volunteers interested in participating in temporary experiences as applicable to answer questions and schedule.
f. Maintain records of volunteers utilized in temporary experiences.
g. Create and maintain documents as needed to assist with the tracking of volunteers.
h. Assist the Team Leader for Volunteers of Programs and Early Childhood with returning phone calls and completing mailings.
h. Attend any relevant meetings.
i. Other duties as assigned.
